Article explaining billing metrics for all Woodpecker plans.

Woodpecker Billing operates on two primary value metrics: contacted prospects and stored prospects.

Contacted prospects

Those are prospects that are processed by the system in a single campaign. That means any prospect on which the action has been performed – whether it’s validating its email address, sending an email, or running a task. If the same prospect is added to two campaigns, our system will count it as two contacted prospects.

The limit for contacted prospects will be reset every month, after the billing date, regardless of choosing a monthly or annual subscription.

Follow-up messages do not count toward this limit.

Stored prospects

Those are prospects that exist in your main “Prospects” table, except the deleted ones.

The combination of those two metrics is available in paired tiers – for example, 2,000 contacted prospects and 8,000 stored prospects. More about that in the Limits tiers section.

Those metrics are counted per whole account. For users with the Agency panel add-on, the limit is counted for all Active Clients. For Inactive clients, you will receive a notification that stored prospects will be deleted 6 months after the Client is deactivated.

Limits tiers

Contacted and stored prospects are paired and priced accordingly.

The lowest plan costs $29 and allows up to 500 contacted prospects and up to 2,000 stored ones.

You can choose from three different plans: Starter, Growth, and Scale. Each of these plans has respective tiers, which will help you set up your desired plan for contacting and storing prospects.

As for the price with the Agency add-on, keep in mind that there will be an additional cost included for each active Client - you will see this in the Subscription summary.

If you notice that you’re storing way too many prospects than the number you’re contacting, we suggest cleaning your prospects list. It’s always better to keep it updated, so you can find your prospects faster and contact those who you assume will get back to you.

If, however, you know that all of those prospects are meant to be contacted, choose the option to upgrade your plan.

If you do not use up your limit of contacted prospects by the end of the billing period, the number of uncontacted prospects does not carry over to the next month.


Choosing subscription

Let’s look at the process of choosing a specific subscription regarding your business needs. This consists of different limit tiers and choosing between monthly or annual payments. The annual plan offers a 33% discount for the whole billing.

After you upgrade from the trial to the full subscription, you’ll be presented with your chosen Woodpecker product price accordingly and its built-in add-ons.

After choosing the desired limits tiers, confirm your choice by clicking on the “Confirm payment” button.

Your billing summary will be visible in the Settings → Billing → Subscription tab.

The current subscription plan can be changed by clicking on the “Change” link in the Billing information. This will allow you to change between monthly and annual subscriptions, as well as changing tiers and active add-ons.


Woodpecker Agency

By clicking on the account name at the top bar of the App, Agency users will see the contacted/stored prospects limit bar in the dropdown, as well as the number of Active clients. The number applies to prospects used in the whole Agency with its sub-clients. This helps with keeping track of the pace at which your Clients contact prospects monthly and store them in the main Prospects database.

In the Billing → Subscription tab, information on contacted/stored prospects will be visible, as well as the number of Active clients in your Agency. Under the “Add-ons” section, you’ll see every add-on active in the account, e.g. API & Integrations and White Label, with their price accordingly. Subtotal and tax are calculated at the bottom of the subscription summary.

If you want to change the pricing plan, you can do that directly from this tab by clicking on the “Manage” button.

The White Label add-on for the Agency costs $5 per month, per client. For example, if you have 5 Active clients, the price you see will be calculated for all of them ($5 x 5 Active clients = $25) and added to the price in the Active clients (X) section. The base price for one Agency Client is $27.

In the Agency Panel → Clients tab, under the Active tab, there are two columns informing about the number of contacted and stored prospects for each client.

After heading to the Inactive clients, you’ll only see the number of stored prospects. It is recommended to clean up the list of prospects stored in the Inactive client, as this will help you avoid the need to go to a higher tier (and thus pay more).


FAQ

Q.: What if during the billing cycle, I want to move to a higher tier? How much will I pay then?

If you've used your contacted or stored storage in the current billing cycle and want to contact more prospects, you can move up to the new tier anytime. In that case, the amount you will then pay will be the difference between the tier you are switching to and the tier you had, no matter how many days remain until the billing date. For example, moving from a $49 to a $84 plan (on Cold Email product) will result in paying $35 (plus taxes).

Q.: I have an annual plan. What if I want to change tiers during the billing period?

Since the tiers are counted in monthly rather than annual cycles, changing a tier to a higher one will immediately change the annual payment. Read about changing the limits here »

Q.: Based on the new billing rules, what if, by the number of prospects stored, my final cost is definitely higher than what I paid before?

You can always upgrade your account in the middle of the current cycle or downgrade it from the next one. We also recommend cleaning out your prospect list, as this can certainly reduce the expected cost, and you may find that many of these prospects were contacted a long time ago and no longer need to be stored in the main database.

Q.: Do follow-ups count toward the contacted prospects limit?

No, follow-ups do not count towards this limit, just as they do not count towards the Daily Limit in Woodpecker.

Q.: Can I downgrade my subscription plan?

Yes, as long as the number of stored prospects does not exceed the current limit. If you have more than the lower tier assumes, the downgrade option is left unselectable from the tier list.

The new, lower plan will not be active until the new billing period.
